POSITION: EVENTS ADMINISTRATOR

REPORT TO: OUTLET MANAGER/GENERAL MANAGER

Job brief

We are looking for candidates that are organized, have a keen eye for detail and a willingness to exceed guest expectations. Events Administrator responsibilities include prospecting, client management, group and event bookings and able to organize all details of the events into a clear and efficient event order for the operations department to execute. She is also able to make fast decisions to prevent any issues that may arise.

She may be required to work long and irregular hours, depending on the nature and schedules of the events. 

Responsibilities

• Grow both new and existing local corporate accounts
• Be passionate and knowledgeable about the products and venues to better engage in event sales
• Use your flair and individuality to drive sales and create connections with the clients
• Play a leading role in embedding a culture of sales
• Meet your sales targets while driving standards and productivity
• Ensure all KPIs are exceeded on a daily and monthly basis
• Coordinate with office administration on clients' invoicing and payment.
• Coordinate with relevant vendors for event requirements
• Document clients' requirements that align with event scope and objectives.
• Travel on site to inspect ongoing arrangements, preparations, and changes needed to meet the needs of the client.
• Ensure issues that arise in the course of an event are quickly resolved without disturbing the occasion

• Working time 8 hours/day, 2 days off/week

2.Requirements and skills

• Proven Sales and/or Events and/or Hospitality work experience
• There are various departments performing different functions at an event, and it is the duty of the event executive to oversee all of them. Therefore, he or she needs to be able to multitask in order to efficiently manage the event
• Good communication skills because he or she is required to talk to clients, listen to their needs, and provide ideas and solutions to their requirements. Effective communication between the event executive and internal teams is also important to foster and ensure a successful event planning
• Customer service and interpersonal skills are requirements applicants must meet
• Possesses good negotiation skills to be able to work out best prices with clients and contractors
• Possesses good problem-solving skills in order to quickly solve problems that may arise during events. This is important to ensure that everything goes according to plan.
