I. GENERAL MISSION

• Plays a crucial role in providing administrative support to the Engineering Department.

• Assist in maintaining records, coordinating communications, and ensuring smooth operations within the department.

• Report daily tasks to Senior ENG Supervisor/Chief Engineer.

II. DUTIES AND RESPONSIBILITIES

• Assist the Chief Engineer/Senior ENG Supervisor with administrative tasks such as scheduling appointments, managing calendars, and organizing meetings.

• Prepare correspondence, reports, and other documents as requested by the engineering team.

• Maintain electronic and physical filing systems, ensuring documents are organized and easily accessible.

• Be responsible for taking minutes of meeting, follow up files.

• Be responsible for internal and external communications, including phone calls, emails, and inquiries.

• Relay messages accurately and promptly to the appropriate members of the engineering team.

• Assist in drafting and distributing memos, notices, and announcements regarding maintenance schedules, safety procedures, and other relevant information.

• Maintain accurate records of maintenance activities, work orders, equipment inventory, and warranties.

• Input data into computerized maintenance management systems or other relevant software applications.

• Assist in generating reports and analysis of maintenance metrics, repair costs, and inventory.

• Monitor inventory levels of equipment used by the engineering department.

• Place orders for supplies as needed, ensuring timely delivery and adherence to budgetary constraints.

• Maintain records of purchases and expenses related to equipment.

• Coordinate with other departments, such as Housekeeping and Front Office, to coordinate maintenance activities and resolve guest-related issues.

• Assist in scheduling and coordinating on the job training sessions for engineering staff.

• Able to communicate by English fluently

• Attention to detail and accuracy in data entry and record keeping.

• 1-year experience with general knowledge of engineering admin preferred.
