Role - Operations Executive (Haiphong City - Vietnam)

Currently House of Shipping is recruiting for a Operations Executive on Behalf of its client in Haiphong City - Vietnam.

Job purpose

The purpose of the Executive - Operations role is to oversee and ensure the efficient coordination, monitoring, and execution of discharge, loading, and transshipment operations for import, export, and transshipment activities. This includes managing the submission of accurate and timely information to terminals and authorities, coordinating space availability for mainline and feeder services, and tracking daily container movements. The role also entails ensuring the consistent availability of appropriate equipment for local bookings, verifying and reporting depot, trucking, storage, and terminal invoices, and maintaining accurate and timely updates in operational systems and reports.

Main tasks and responsibilities

Operations Coordination

• Discharge & Loading Operations: Oversee discharge, loading, and transshipment activities, ensuring all required information is submitted to terminals and authorities on time.
• Space Coordination: Secure and monitor space availability for mainline and feeder services, preventing operational disruptions.
• Container Movement Tracking: Monitor daily container movements, update stakeholders, and ensure accurate port bookings.
• Equipment Management: Ensure consistent availability of suitable equipment for local bookings, minimizing shortages.

Invoice Verification & Reporting

• Invoice Processing: Verify and report depot, trucking, storage, and terminal invoices promptly.
• System Updates: Maintain and update key operational reports, including AR, TDR, CBF, and WDR, ensuring real-time accuracy.

Operational Efficiency & Compliance

• Process Improvement: Identify areas for operational efficiency improvements and implement necessary changes.
• Regulatory Compliance: Ensure adherence to industry regulations, terminal processes, and coordination with relevant external agencies.

Stakeholder Coordination & Communication

• Internal & External Coordination: Collaborate with port and customs authorities, local governing bodies, feeder operators, and internal teams to streamline operations.
• Operational Issue Resolution: Address and resolve operational challenges swiftly to prevent service disruptions.

Work Experience

• Maritime Shipping, Logistics, or Transportation industry.
• Experience in container handling, logistics coordination, or shipping operations.
• Minimum 5 years of experience in operations or supply chain management.
• Strong understanding of industry regulations, terminal processes, and container handling.
• Office-based role with regular on-site visits to ports and terminals.
• Occasional travel to terminals, depots, and external stakeholders.

Education requirements

Bachelor’s degree in Logistics, Supply Chain Management, Operations Management, or a related field.

Certifications & Training | Training in logistics software, operational systems, and regulatory compliance preferred.
