Job Responsibilities:
1. Job Summary
a. File Storage Control:
- Guide, coordinate, and collaborate with departments to implement file storage plans/regulations.
- Monitor and conduct periodic inspections of file storage activities in departments.
b. Ensure Effective Implementation of Regulatory Documentation (VBLQ) Systems:
- Oversee the application of policies, regulations, and procedures aligned with the management orientation of the Board of Directors and Executive Board.
c. Compliance Monitoring:
- Track and monitor adherence to regulatory documents across departments.
d. Periodic Internal Audits and Reporting:
- Conduct evaluations and prepare regular reports.
e. Feedback and Document Improvement:
- Record feedback and improve regulatory documents.
f. Weekly Reporting:
- Monitor weekly reports from departments and compile recommendations for the Leadership Board.
2. Key Duties and Responsibilities
a. File Storage Control:
- Guide, coordinate, and collaborate with departments to implement file storage.
- Periodically monitor and inspect file storage practices in departments.
b. Implement and Monitor Compliance with VBLQ Systems:
- Develop annual or ad-hoc plans for monitoring and evaluating compliance with the regulatory system.
- Communicate, guide, and organize the implementation of regulatory documents.
- Monitor and evaluate adherence to the VBLQ system.
- Identify risks related to document implementation.
- Review the consistency, compliance, and feasibility of company documents under assigned responsibilities.
- Record non-conformities or feedback on VBLQ and collaborate with units to revise and improve operational documents.
c. Organize and Conduct Internal Audits:
- Implement internal evaluations based on plans from the Internal Audit Department.
d. Weekly Reporting and Leadership Consultation:
- Monitor departmental weekly reports and provide insights and recommendations to the Leadership Board.
e. Improvement Process Control:
- Track and verify corrective and preventive actions for non-conformities identified in departments.
f. Other Tasks:
- Advise on developing regulatory systems for units/branches.
- Conduct ISO 9001 quality management system awareness training.
Job Requirements:
1. Education:
- Bachelor’s degree in Quality Management, Archiving, or Law.
2. Experience:
- At least 2 years of experience in developing and implementing ISO 9001 quality management systems.
- Preferred experience includes:
- Working in an organization with system management certifications (ISO 9001, ISO 14001, etc.) and experience in compliance monitoring and internal audits.
- Previous roles in companies related to real estate project construction (developers, contractors, or supervision consultants).
3. Knowledge:
- In-depth understanding of system management and policy-related tasks.
- Familiarity with real estate investment, project construction, and document management in project records.
4. Skills:
- Planning, monitoring, and execution of tasks according to plans.
- Communication and persuasion skills; problem-solving abilities; internal auditing skills.
