ACTIVITY: TRADING COMPANY SOURCING, DESIGN AND MANUFACTURING SOLUTIONS
LOCATION: NO 24, 40 STREET, THAO DIEN, QUAN 2, HO CHI MINH
CONTRACT: PERMANENT POSITION
STARTING: IMMEDIATELY
JOB DESCRIPTION
***Reporting to Managing Directors
• purchase order / proforma invoice & letter of credit
• prepare purchase orders and proforma invoice for customers and suppliers and follow delivery status
• check letter of credit sent by customer and prepare relevant documents to transfer lc to factories
• follow up closely with merchandisers on the products development process
***Shipment Process
• strong experience and responsibility for harmonizing and supervising shipping activities on liaise between manufactures, forwarder and consignees.
• getting estimated shipping data (cartons number, carton size, gross weight, volume,…) from manufactures, asking delivery schedule from forwarder, analysis and provide information in time to get shipping instruction from consignee.
• work with existing transportation suppliers on optimal delivery rate and routing
• ensure that internal teams recommend the most advantageous transportation modes, routing, equipment or frequency
• responsible for troubleshooting any concern related to international freight transportation
• direct and follow-up with incoming materials and outgoing finished products to ensure prompt delivery to customers
• work with and monitor the efforts of partners in the supply chain to ensure smooth operations
• responsible for utilizing logistics it systems or software to optimize procedures ( raz software)
• responsible for planning and tracking the shipment of final products according to customer requirements
• responsible for the preparation of appropriate and accurate logistics reports for upper management
• responsible for maintaining accurate logs of all transportation and goods.
• validate the shipping documents from factories.
• prepare shipping documents (invoice, packing list,..) and extra documents ( co form a, eur1, detail packing list,…) as per customer’s request
• follow up closely with manufacturing, forwarder and customer on payment status
• monitor deliveries and ensure customer satisfaction
• purchasing, payment and invoices follow up
• in charge of ensuring all goods are well received from all suppliers for all needs at the office (furniture / samples / accessories / fabrics…)
• in charge of customs declaration procedures.
• validate shipping fees and follow up payment status

• previous up to 5 years’ experience in an international trading office a plus
• familiar with trading export shipment processes (letter of credit, packing list, invoice, bill of loading, incoterms…)
• familiar with full accounting process, great calculating & forecasting skills and high sensibility in numbers
• hard-working, team-work spirit, good communication, strong organizational skills
• outstanding execution ability with proven determination and perseverance in reaching goals. a never give up attitude.
• self motivated and ability to meet tight deadlines with a high degree of accuracy
• fluency in both oral & written english.
• computer literacy in ms office, excel, outlook, powerpoint, dropbox
• certificate of general administration
