LMSL, the Life Management Science Labs, has been established to commercialize activities using the above mentioned research insights. LMSL is an organization aiming to empower people all over the world to transform their lives based on the research by The Institute for Life Management Science, which identifies and structures all aspects of human life into a comprehensive architecture.

A recently initiated research project is dedicated to the application of management systems in personal life. A multi-disciplinary research team explores the structure and application of personal administration at individual, couple and family level. The result of the research project is a series of tools, templates, toolkits, publications and training courses content.

Currently expanding into Vietnam, Indonesia, Romania and Egypt,, LMSL is on a mission to localize and deliver transformative life management education programs. We aim to reach more communities with diversified, accessible, and impactful learning solutions. We are seeking a highly organized and proactive Administrative Assistant to support our Vietnam Localization Team and ensure smooth day-to-day operations. The ideal candidate will be detail-oriented, tech-savvy, and capable of juggling multiple responsibilities in a fast-paced environment.

Your main responsibilities include:

  • Provide administrative support, including generating meeting minutes, maintaining meeting records, tracking action items, and managing files via tools such as Asana, Slack, and Google Drive.
  • Organize and maintain paperwork and documentation for the Localization Team.
  • Develop and manage a well-structured filing system to ensure documents are up-to-date, complete, and accessible.
  • Perform regular quality checks on digital and physical files to ensure accuracy, completeness, and consistency.
  • Assist with external communications, including contacting vendors, collecting quotes, and gathering information as directed by the Direct Manager.
  • Track, update, and report on daily tasks and delegate responsibilities to team members based on objectives set by the Direct Manager and project updates.
  • Prepare regular reports, including deal updates, revenue share tracking, and ROI reports (if applicable).
  • Manage system configurations and integrate team workflows into designated publishing platforms.
  • Support event, workshop, and conference planning and execution.
  • Oversee general office operations, including:
    • Inventory and stationery management
    • Pantry and office supplies tracking
    • Generating basic invoices and maintaining expense records
    • Booking weekly cleaning services
    • Ensuring a high-quality, well-functioning work environment
  • Review and provide constructive feedback on team members' work when needed.
  • Carry out additional duties as assigned by the Direct Manager.

We expect you to:

  • 2-3 years' experience in an admin role, project assistant or similar function
  • Hold a Bachelor’s in Business, or Administration, or other relevant studies
  • Adept in using Ms Office suites, project tracking tools, and communication tools (Knowledge of handling digital materials will be an advantage)
  • Strong organization, detail orientation skills, creative thinking and the willingness to learn;
  • Good communication both among internal and external stakeholders
  • Have strong research, analysis, and critical thinking skills;
  • Be able to work independently, but also as part of a team;
  • Excel in written and verbal English
  • Are energetic, entrepreneurial, hardworking and persistent;

Employment type: Independent contractor/external collaborator

Duration: Undetermined period, with 3 months’ probation period
