YOUR ROLE
The REC Facilities Coordinator, who plays a role of REC Facilities team leader, is responsible for the timely delivery of a range of sports facilities and equipment as well as supporting services that ensure the smooth, safe and effective operations of the REC on the daily basis.
The position also coordinates with diverse stakeholders to ensure the successes of a variety of activities taken place at the REC, including student clubs’ practice and competitions, sports, fitness & recreation programs, internal and external events.
This position is based in Saigon South campus and required flexible working hours, including working in shift, on weekends and University closure.
Key Accountabilities
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) with a score of at least 5.5 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).

YOUR ROLE
The REC Facilities Coordinator, who plays a role of REC Facilities team leader, is responsible for the timely delivery of a range of sports facilities and equipment as well as supporting services that ensure the smooth, safe and effective operations of the REC on the daily basis.
The position also coordinates with diverse stakeholders to ensure the successes of a variety of activities taken place at the REC, including student clubs’ practice and competitions, sports, fitness & recreation programs, internal and external events.

Key Accountabilities
- Ensure all REC facilities and equipment are operated and used safely and responsibly at all times.
- Coordinate with the REC Facilities team to manage the Facilities service mailbox [email protected]. Respond to all incoming bookings, requests, and inquiries promptly, accurately, and efficiently.
- Proactively plan and implement preventative maintenance programs for REC facilities and equipment. This ensures the continued high standard and safe operation of all resources.
- Prepare and manage the monthly working roster for REC Facilities team members, adhering to HR policies and aligning with REC operational needs.
- Collaborate with various stakeholders to provide appropriate facilities, equipment, and service support for all activities and events held at the REC.
- Coordinate with internal University departments, external service providers, contractors, and vendors to ensure the delivery of relevant services is consistently and in compliance with University rules and regulations.
- Facilitate logistics arrangements and support bookings for external groups using the REC.
- Oversee the use of operational equipment, including maintaining an inventory, tracking lifecycles, and handling equipment fixes and replacements.
- Liaise with Student Life administration staff and external vendors/suppliers to implement the procurement and payment process for equipment, spare parts, and accessories.
- Support the REC Operations Manager with planning and implementing renovation projects for REC facilities and equipment.
- Regularly update and report on the status of facility operations, maintenance, and any issues or concerns to the REC Operations Manager.
- Provide timely guidance, coaching, and support to the FO team members to uplift the team's skills and performance.
- Undertake other duties as instructed by the REC Operations Manager.
- A relevant Bachelor's or Diploma degree, preferably in Facility Management or Mechanical & Electrical (M&E) Engineering.
- Knowledgeable and experience in building operations management or project management.
- Ability to communicate effectively with diverse stakeholders in a multi-cultural and multi-national working environment.
- Ability to work independently and collaboratively as a team leader.
- Strong time management, problem-solving, and organizational skills with a high level of attention to detail.
- Proficiency in various Microsoft Office applications.
- Ability to display appropriate behaviours in line with the position, as per the RMIT Values.
