Admissions Officer

About the role

The position of Admission Officer is a key role within the Recruitment and International Operations (RIO) portfolio, supporting La Trobe University's strategic goals in global engagement. As the Admission Officer for East Asia, you will collaborate closely with the central Admissions Team to deliver a seamless, end-to-end admissions experience. You will also build strong partnerships with a diverse range of stakeholders, including students, staff, industry partners, and the broader community, ensuring exceptional service delivery and industry-leading turnaround times. Your work will contribute to enhancing the University's reputation as a destination of choice for international students. This role in Navitas will focus directly under La Trobe University Program.

Key Responsibilities

  • Participate in planning involving resources use and develop proposals for resource allocation.
  • Work at this level may require the ability to investigate, interpret or evaluate information where considerable interpretation of existing regulations, policies or procedures is required.
  • Applies theoretical (or policy) and technical knowledge to design, review, develop or test complex equipment, systems or procedures.
  • Performs tasks/assignments which require proficiency in the work area's existing rules, regulations, processes and techniques and how they interact with other related functions, and adapts those procedures and techniques as required to achieve objectives without impacting on other areas.
  • Applies appropriate expertise and uses judgement to make decisions where solutions are not obvious, to deliver professional services to meet customer requirements.
  • Identifies additional service requirements or service shortfalls and coordinates and/or designs the delivery of innovative solutions to maximise service quality, efficiency and continuity.
  • Ensures professional and quality service standards are maintained and applied within own area of activity.
  • Identifies and makes recommendations (e.g. in policies and procedures) to contribute to the operational improvement of the team and Division.
  • Has a detailed knowledge of relevant policies, systems and procedures and understands how they relate to and impact on International and domestic student admissions, credit, short courses and any related aspects.
  • Performs processing activity that supports the execution of admission related activities in a timely and efficient manner.
  • Liaise with and provide support, and advice to the team, staff within Schools, and other internal and external stakeholders on student matters related to team functions.
  • Operates as an individual responsible for the organisation and delivery of admission related work, to meet Division and subunit objectives.

Essential Skills, Knowledge, and Experience

  • Bachelor's Degree or equivalent
  • Extensive International Admissions Experience: Proven experience in international admissions, with a particular focus on Australian university or pathway program admissions, including a thorough understanding of genuine student requirements and the application of relevant government legislation, such as Genuine Student Requirements (GSR) criteria and student visa compliance.
  • Specialised Knowledge in Administration: Substantial experience in admissions or related administrative roles, enabling the development of either specialised expertise in Australian higher education pathways or broad administrative knowledge. A combination of relevant qualifications, training, and practical experience is equally valued.
  • Policy Application and Interpretation: Demonstrated ability to understand and apply policies, procedures, and systems, including interpreting and implementing these within the context of international student admissions and compliance.
  • Effective Time Management: Proven capacity to organize work effectively, manage competing priorities, and deliver outputs within required deadlines while maintaining high accuracy and attention to detail.
  • Independence and Team Collaboration: Ability to work independently, adhering to established procedures with minimal supervision, while also contributing positively to a collaborative team environment.
  • Exceptional Communication Skills: Outstanding communication and interpersonal abilities, with a strong customer service focus and a proactive, solution-oriented approach to addressing stakeholder needs, including students, staff, and external partners.
