Mô Tả Công Việc

The Operations Manager at North London Collegiate School, HCMC, plays a vital role in ensuring the safe and efficient day-to-day operation of the school. This position requires a highly organised and proactive individual who will oversee various aspects of school operations, including facilities management, safety and security, emergency response, administrative support, human resources, food services, health services, and compliance with legal and regulatory requirements.

The core responsibilities will include:
1. Facilities Management:
- Oversee the maintenance and cleanliness of the school's facilities.
- Manage maintenance staff and contractors.
- Coordinate repairs and renovations as needed.

2. Purchasing:
- Procure and manage supplies, equipment, and services for the school.
- Maintain inventory control and cost-effective purchasing practices.

3. Safety and Security Protocols and Procedures:
- Develop and implement safety and security protocols and procedures.
- Conduct regular safety drills and training for staff and students.
- Implementing security measures to control access to the school premises, including visitor check-in procedures and security personnel where needed.
- Maintaining surveillance systems and alarm systems.

4. Emergency Response Plans:
- Establish and maintain emergency response plans for various scenarios.
- Coordinate with relevant authorities for emergency preparedness.
- Regularly reviewing and updating these plans to reflect changing circumstances and needs.

5. Environmental Safety:
- Ensure compliance with environmental safety regulations.
- Implementing practices to reduce risks associated with environmental factors.
- Promote sustainability practices within the school.

6. Transportation:
- Coordinating transportation services for students, which may include buses, vans, or other modes of transportation.
- Ensuring the safety of students during transportation to and from school, including maintaining school buses and enforcing safety regulations.
- Conducting safety training for bus drivers and monitoring compliance.

7. Administrative Support:
- Provide administrative support to the Head of School and other school departments as needed.
- Manage administrative staff.

8. Human Resources:
- Oversee HR functions with regards to school Operations, including recruitment, onboarding, and personnel management.
- Ensure compliance with labor laws and school policies.

9. Food Services:
- Supervise the school's food services, including meal planning and catering.
- Maintain high-quality food standards and hygiene.
- Managing dietary restrictions and allergies for students who require special meal considerations
- Ensuring that food options are nutritious and meet dietary needs and cultural preferences.

10. Health Services:
- Manage the school's health services, including the school nurse and medical facilities.
- Maintaining records of student health information, allergies, and medical conditions to ensure appropriate care.

11. First Aid and Medical Supplies:
- Maintain adequate first aid and medical supplies.
- Train staff in first aid procedures.

12. School Uniform:
- Oversee the procurement and distribution of school uniforms.

13. Scheduling and Logistics:
- Manage school schedules and logistics, including events and extracurricular activities.
- Managing room reservations and facility usage.
- Receiving deliveries and disseminating to appropriate departments

14. Legal and Regulatory Compliance:
- Ensure the school's compliance with all relevant laws and regulations.
- Stay updated on changes in education and safety regulations.
- Managing permits and licenses required to operate as an educational institution.

Yêu Cầu Công Việc

Bachelor's degree in a relevant field (Master's degree preferred).
- At least 3 years of experience in a similar position, ideally in a school setting.
- Knowledge of Vietnam labor law, environment and health and safety regulations.
- Strong leadership and communication skills.
- Excellent organizational and problem-solving abilities.
- Good verbal and written communication skills in English (IELTS 6.0+)
- Familiarity with legal and regulatory requirements in education.
- Ability to work collaboratively with diverse stakeholders.
