* Admin:
- Lead the Admin Teams of SYPM & NHO Group; to plan, supervise and control activities of the administration operations to ensure the good quality of administrative services. The team is including admin officers, receptionists, drivers, cleaners, securities, and maintenance technicians.
- Be in charge of property and facilities management to provide quality, customer-oriented and cost-effective services to meet business and operational needs. Ensure the office is safe, clean, comfortable and stocked with necessary equipment, tools.
- Be in charge of KDM and NHO office building operation and building management; supervise daily operating of the office including safety, hygiene, environment, maintenance; ensure proper maintenance of the building assets, equipment, tools and facilities
- Be in charge of planning, scheduling and organizing the company events including mini events, monthly events and annual company events, company trip, year end party, etc.
- Be in charge of arrangement for international/ domestic travels for employees and management boards including accommodation, transportation, visa, travel insurance and other logistics support.
- Be in charge of car arrangement, car maintenance, parking and related issues.
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
- Ensure the smooth and adequate flow of information; and act as main central point of contact for internal and external stakeholders.
- Build up the relationship among admin teams and other departments, ensure the administrative support for both local and expats timely.
- Ensure operations adhere to policies and regulations. Keep abreast with all organizational changes and business developments.
- Set up all Admin procedures; develop manual, policies/process of admin work, company regulations, safety regulations and follow up the implementation.
- Process and manage companies' licenses, documents related Company license, certificate.
- Process visa, housing rental, pink book registration, car and house rental, support children’s schooling for expats; process visa/ TRC for expats’ maids when requested by the company.
- Take all necessary actions to comply the laws, regulations related to management of the office building and liaise with the Authorities on the certificate issues, including environment, fire fighting prevention, safety and hygiene, etc.
- Report timely to the superiors when requested.
- Plan the operation budget cost.
* Training:
- Develop, review and improve admin systems included guidelines, policy and procedures.
- Assess the team members skills, performance and productivity to identify areas of improvement.
- Develop training manual and implement training program for team members to improve service, develop the team and get tangible results.
* Other tasks:
- Assigned by the management board
