Job Summary: General Affairs is a functional sub-team of HR Organization, which is Corporate Shared Service providing functional service for all sites of Coherent Vietnam.

This position is responsible to perform all of aspects of GA Team. The basic function of the job includes but not limited to:

▪ Maintains a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone.

▪ Ensures proper flow of office procedures and supports by carrying out common office duties for all employees.

▪ Provides all HR-related administrative supports, included but not limited to company events, activities organizing, business trips, external training course support, etc.

▪ Administers day-to-day activities of Contractors, namely Cleaning Service, Transportation Service, Cleaning Team, Driver Team, Catering or other teams that are assigned by Line Manager.

Primary Duties & Responsibilities

• Manages and/or performs all administrative duties in the office and ensure that office is operating smoothly

• Manages payment process for all kinds of services under GA & HR.

• Manages office supplies inventory and places orders as necessary while making sure the office budget is managed effectively

• Manages the day-to-day operations of Contractors that are providing services to the company in the scope of work of GA.

• Coordinates with EHS to implement any process or procedure related to GA/ HR’s scope of work.

• Make sure the GA operating tasks are compliance with law, company regulation.

• Organizes company activities such as: company outing, quarterly & annual meeting, team building Year-end Party, Annual Medical Check-up or any events assigned by line manager.

• Coordinates employees’ engagement activities.

Education & Experience

• Bachelor’s Degree in Foreign Languages, Tourism, Marketing, Multimedia, Communications, Business, Economics, Industrial Management, Social Sciences and Humanities, etc.

• 5+ years of related working experience in General Affairs in a manufacturing company, and relevant companies.
