Warehouse Officer is responsible to:
- Development: Work with IT for the WMS system enhancement to adapt Warehouse work requirements.
- Inventory Management:
+ Maintain all inventory stored at the warehouse to ensure proper status or availability.
+ Responsible for accurate data entry of all inventory/shipping paperwork into CMMS or other business systems for incoming/outgoing parts/tool.
+ Make sure that the documents and materials received from suppliers and other sources are accurate and complete.
+ Prepare and control inventory counting plan including cycle counting and ticket counting.
+ Timely report any discrepancy to leaders and update the status on system.
+ Prepare daily, weekly, monthly inventory movement report and monthly inventory balance report.
+ Identify and investigate inventory discrepancies, stock shortages, or surplus inventory, conducting root cause analysis and implementing corrective actions.
+ Coordinate with Accounting for issues related to inventory movement. Implement inventory control measures, such as FIFO (first-in, first-out) or LIFO (last-in, first-out), to optimize inventory turnover and minimize obsolescence.
+ Maintain record of receipts as well as issuance of items that are going out of the warehouse so as to ensure accuracy and completeness.
+ Keep track of OSD goods and prepare related reports
- Material Master Data Management:
+ Standardization of materials master data which shall eliminate ordering of duplicate materials.
+ Standardization of materials master data which shall eliminate ordering of duplicate materials.
+ Capturing the relevant information from manufacturer's catalogues and other reference documents.
+ Data cleansing and enrichment, walk down and inspection of warehouse items (spare parts), developing buying specification and additional characteristics as per NSRP standards by taking measurements/inspections, identifying the discrepancies between the actual item characteristics/measurements physically in stock, existing reference documents, and the catalogue information available in CMMS Maximo/SAP.
+ Ensuring that the finished materials master data description in CMMS Maximo/SAP can be used by Purchasing Department to replenish the item without additional information.
+ Review existing master data and ensure relevant information is suitably enhanced, properly checked for errors and duplication, in order to maintain the highest possible standards in the Material Master Data.
+ Standardize the description format in a logical sequence based on rule book standardization for cataloguing.
+ Use the standard material Master abbreviations to add new items or update/extend/deactivate existing items.
+ Update all the relevant information i.e., UOM, Valuation type, Lead time, Warehouse Number etc. in CMMS Maximo/ SAP Material Master and ensure all required fields are accurately completed.
+ Responsible for flagging within the materials master data any obsolete / inactive items in coordination with operations and supply chain leads.
+ Define Material/ Item Classification, spares, general or consumable using the item type definitions.
+ Ensures quality of master data in key systems, as well as development and documentation of processes with other functional data owners to support ongoing maintenance and data integrity.
- Other Responsibilities:
+ Manage warehouse documents (PO, PR, Certificates, Warranty, MSDS, Reports, MRO request, MRO issue reports & other).
+ Perform other tasks as assigned by Sr. Warehouse Officer and Team Leader, Manager.

Warehouse Supervisor is responsible to:
- Warehouse Operation:
+ Provide a safe working environment, adhering to Health, Safety and Environmental procedures and ensuring they are understood and practiced by the team at all times.
+ Provide operational support of a transactional operations area for assigned warehouse area with the main task: warehouse safety & security, managing storage area, materials In/Out, preservation, space management, Warehouse's asset/facility, lifting and rigging, projects, catalyst & chemical transportation, PTW and HSSE document, MOC, operation, housekeeping, support end-user for materials checking, etc.
+ Provide operational support by performing a range of route activities following established procedure.
+ Supervise and control order picking, goods in, goods out operations to ensure accuracy with minimum handling and stock damage.
+ Tracking and coordinating the receipt, storage, and timely delivery of goods and materials.
+ Work together with other departments, such as Import/Export and procurement, end-user, to effectively manage and prioritize incoming and outgoing shipments.
+ Coordinating, or overseeing warehouse & logistics operations.
+ Activities include productivity and process quality of warehouse operations, reducing controllable expenses.
+ Maintain all inventory stored at the warehouse to ensure proper status or availability.
+ Keep stocked materials and equipment's under good condition in warehouse.
+ Supervise all Physical Inventory Counting and audits (including Monthly, Quarterly and Annual Inventories).
+ Storage space management and optimization.
+ Ensure that warehouse operations are aligned with internal customer requirements.
+ Responsible to distribution material/equipment in time to coincide the work order scheduling.
+ Proper packing, labeling and tagging of parts before putting away inventory to prevent misidentification and damage to parts.
+ Operate & maintain warehouses & storage facilities and equipment & tools supporting for all activities relating to warehouse operations.
+ Schedule and supervise the transportation of goods and supplies following established procedures to ensure on-time delivery of goods.
+ Control of MHE management to ensure full operational capacity and achieve daily targets.
+ Maintain warehouse and machinery, ensuring equipment is serviced when needed and a clean and tidy workspace is kept at all times.
- Other Responsibilities:
+ Guide, manage contractor labors for warehouse if required
+ Motivate and lead Storekeeper to effectively carry out given tasks.
+ Perform other tasks as assigned by Sr. Warehouse Supervisor and Team Leader, Manager.- At least 3-5 years' experience in a similar position in international companies
- Knowledge of warehouse management or material control process
- Any advance certification course in Supply chain, Warehouse , Inventory management is a plus.
- Professional experience with SAP/MAXIMO or WMS SYSTEM.
- Proficient knowledge of English. Knowledge of petroleum materials & equipment is a plus.
- Knowledge of inventory management.
- Ability to work under pressure in an environment which expects the highest levels of customer service, confidentiality and ethical behavior.
- A significant knowledge of HSE issues related to operations requirements for material handling, transportation, warehouse and pipe yard, datasheet certificates and safety data sheets (SDS).
- Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics etc.
- Spare Parts data management skillful.
- High data analytical skills. Proficient in basic math skills.
- Willing to learn a new thing & be able to work under high pressure.
- Ability to work well with supervisors, leaders, managers.
- Self-motivated and works well in an international multi culture team environment.
- Proficient in word processing and spreadsheets as well as having experience using an email system and making searches on the Internet.
- Good Reporting skills.
- Able to work well in a team especially in multi-culture team as well as independently.
- Competent with Microsoft office application: word, excel, PowerPoint

Khu liên hợp NSRP nằm cách thủ đô Hà Nội 260km tại Khu kinh tế Nghi Sơn, xã Hải Yến, thị xã Nghi Sơn, tỉnh Thanh Hóa, một trong những tỉnh lớn nhất Việt Nam. Ước tính tổng kinh phí đầu tư của Dự án NSRP khoảng 9 tỷ USD, trong đó đóng góp của nhà tài trợ khoảng 4 tỷ USD. Nhà máy lọc dầu này có công suất chế biến 200.000 thùng dầu thô nhập khẩu từ Kuwait mỗi ngày (tương đương 10 triệu tấn mỗi năm). Loại nhiên liệu chiếm tỷ trọng lớn nhất trong sản phẩm là diesel cao cấp (2.204 kt / năm), sau đó là diesel thường (1.470 kt / năm), RON 92, RON 95 (1.153 kt / năm), LPG, nhiên liệu máy bay và nhiều loại hóa dầu các sản phẩm.
