Instrumental Music Administrator:
The job holder has responsibility for promoting and safeguarding the welfare of children and young person’s for whom s/he is responsible, or with whom s/he comes into contact will be to adhere to and ensure compliance with the relevant Cognita Safeguarding; Child Protection Policy and Procedures at all times. If in the course of carrying out the duties of the role, the job holder identifies any instance that a child is suffering or likely to suffer significant harm either at school or at home, s/he must report any concerns to the School’s Child Protection Officer/Designated Safeguarding Lead or to the Head or indeed to the Regional CEO so that a referral can be made accordingly to the relevant third-party services.
The Instrumental Music Administrator provides operational support and guidance for all co-curricular Music Programs.
Responsibilities:
The Instrumental Music Administrator will support, implement, coordinate, and supervise policies and procedures for the school co-curricular music education programs, as follows:
Operations
● Instrumental music scheduling – Review and revise the instrumental music schedule to ensure information is current.
● Compile daily schedule for music monitor
● Order department resources as requested by the Performing Arts Academy Director, e.g. examination books, equipment, etc.
● Assist Performing Arts Academy Director in preparation for external music exams
● Book the transport for all Performing Arts Academy activities (whole school)
● Support with the organization of a variety of educational and recreational activities for students based on student/faculty interest, and outside instructors/programs;
● Create, distribute and collect materials related to Performing Arts Academy programme activities; organize contracts and fee structure; verify enrolment; verify that appropriate fee(s) have been collected for all student participants.
● Support music staff for non-curricular music programs and events
● Liaison to PTO / & Community Music Programs
● Oversee Transportation for all local & international travel for Music students
● Organize and supervise Hosting of visitors from out of the country, for Music events
● Feedback to Performing Arts Academy Director on Budgets forPerforming Arts programme
● Represent ISHCMC by liaising with SISAC Board (Saigon International Schools Athletic Conference)
● Foster good school-community relations by keeping community aware of and responsive to music programs
● Delegate authority with the approval of the Performing Arts Academy Director
Systems
● Update related IT systems to implement the daily operations of the Performing Arts Academy.
● Collating student records from programme attendance register
● Preparing teachers monthly salary records from programme attendance register for Performing Arts Academy Director approval
● Ensure that teachers update Lesson Logs daily
● Coordinate with the Development Department for update in web communication on ISHCMC Website
● Create and update instrumental music blog
Communication
● Communicate relevant information to the ISHCMC community via the current communication channels, e.g. ISHCMC news, Insights , daily notice and instrumental music blog.
● Communicate instrumental teacher absence to parent, student and homeroom (Pre-planned)
● Check student absence and inform instrumental teacher
● Coordinate the bus schedule/ activities students with transport for the “late” bus.
● Liaise with all staff in case of any changes in arrangements to the normal daily programme & advise parents, students, staff & transport accordingly.
