A – Job summary The HR Officer (HR Projects) is responsible for various projects supporting HR operations and initiatives across HR functions. The HR Officer (HR Projects) is responsible for various steps through a project plan, including, but not limited to, investigation and deployment plan, project timeline, go live for implementation and maintenance under the guidance of the Head of HR/Project Manager. This position also serves as a representative and liaison between HR, ICT and operations divisions, with external vendors, and other stakeholders for HR relevant projects development and management.
B – Essential duties and responsibilities 1/ HR projects scope - Coordinate in deployment, development and maintenance technology (e.g. ERP, HR modules) and non-technology (e.g. expansion plan) HR projects portfolio in collaboration with HR team and project team members. - Develop HR project requirements and timeline in coordination with HR team members; Prepare support information, documents and data necessary to obtain approval; and Coordinate in implementation. - Assist HR leadership to ensure that the project’s scope, benefits container, impacts, costs and timelines are implemented within budget and fully described thereby resulting in effective and efficient execution; - In charge of regular reports on HR projects status/ timeline and Ad hoc reports on possible issue(s) to the HR Head, to propose solutions and facilitate the process to solve the issue(s). - Monitor to ensure the compliance of the HR projects to relevant Law and regulations and to the school policy and procedures.
2/ Project implementation: Coordinate from end to end process of HR projects, including: - Capture information, data and documents for all key project elements: HR requirements, system configuration, milestones/timeline reports, agreements/ payments records, problem statements, business cases, change requests, risk and stakeholders management both digitally and in hard copies. - Manage works and information flow between project participants; Coordinate meetings, record minutes and follow up action items and ensure action items are completed in a timely way; - Support the starting, implementing and closing process for projects, ensuring all documentation available for lessons learned and for the update of impacted processes, tools and templates. - Provide training to HR team members/end-users as requested for relevant HR system(s) - Assists in evaluating, testing, proposing, documenting and implementing new or revised HR procedures resulting from system updates/releases. - Monitor and report on new system performance and propose improvements, adjustments if necessary and facilitate the process to make appropriate changes. - Other tasks relating to project implementation and maintenance.
3/ Other duties: - Facilitate in HR activities as requested. - Performs other duties when assigned by the direct supervisor.

Knowledge, Education and Experience: ○ Bachelor’s Degree in Business, IT, HR Management, or related fields ○ At least 3 years of experience in HR Generalist, HRIS and database management; ○ Experience in HR project coordination is strongly preferred ○ Experience in development and implementation of Human Resources policies/procedures is a plus ○ Have good knowledge and use of HR systems ○ Familiarity with human resource policies and procedures ○ Knowledge of IT development procedures
Skills: ○ Excellent interpersonal and technical support skills ○ Strong problem solving/analytical skills with attention to detail and a high level of accuracy. ○ Knowledge of Project Management would be an asset
Abilities: ○ Proficiency in English ○ Able to work in a dynamic organization by balancing multiple priorities. ○ Able to work both independently and with cross-functional teams using good judgment.
