As a Logistics Coordinator based in Ho Chi Minh City, you will play a pivotal role in facilitating seamless international freight movements between Asia and the United States. Your day-to-day activities will involve close collaboration with both internal colleagues and external partners such as factories, suppliers, freight forwarders, carriers, couriers, and customs brokers. You will be responsible for managing the end-to-end process of booking shipments—both commercial goods and samples—ensuring all necessary documentation is prepared accurately and submitted on time. Your ability to communicate clearly across different teams will help maintain efficient scheduling while resolving any logistical challenges that may arise. - Coordinate and book international ocean and air freight shipments from Asia to the United States, ensuring all arrangements meet required timelines and compliance standards.
- Manage and support international sample shipments via courier or air freight by preparing necessary documentation, assisting with customs clearance, and tracking each shipment until delivery.
- Collaborate closely with internal team members to plan, schedule, and execute shipments efficiently while maintaining open communication throughout the process.
- Communicate directly with factories and suppliers to obtain, review, and verify export documentation such as Commercial Invoices (CI) and Packing Lists (PL), ensuring accuracy before submission.
- Assist factories with export procedures to guarantee adherence to local regulations as well as carrier requirements for smooth shipment processing.
- Prepare, review, and submit detailed shipment information including Shipping Instructions (SI), ISF (Importer Security Filing) data, HS Codes, consignee details, shipper information, and notify party contacts.
- Ensure all shipment data is meticulously checked for accuracy and submitted within strict cut-off times to avoid delays or compliance issues.
- Track ongoing shipments proactively and provide regular status updates to internal stakeholders so everyone remains informed about progress or potential challenges.
- Coordinate effectively with freight forwarders, carriers, couriers, and customs brokers to resolve any issues or delays that may arise during transit.
- Maintain organised records of all shipments and related documentation for easy retrieval and audit purposes.

- Comprehensive knowledge of export documentation requirements including preparation of Commercial Invoices (CI), Packing Lists (PL), Shipping Instructions (SI), ISF data elements, HS Codes, consignee details, shipper information, notify party contacts.
- Familiarity with U.S. import requirements including ISF data elements as well as basic customs compliance protocols relevant for international trade.
- Demonstrated ability to manage multiple shipments simultaneously while maintaining high levels of accuracy under tight deadlines within a busy environment.
- Proficiency in English language skills—both written and verbal—to facilitate clear communication with overseas partners as well as internal teams.
- Experience working directly with overseas factories or suppliers on export procedures ensuring compliance with local regulations as well as carrier requirements.
- Strong attention to detail when reviewing documentation or preparing shipment records so errors are minimised throughout the process.
- Ability to coordinate effectively with freight forwarders, carriers, couriers or customs brokers when resolving issues or delays during transit.
- Working knowledge of logistics or ERP systems used for tracking shipments or managing supply chain data.
