Your role
The Program Coordinator, SPARK Hub will serve as the first point of contact for all program delivery and experiences, working under the supervision of the Hub’s Lead. This role involves coordinating end-to-end experiences for all stakeholders, managing expectations, and ensuring satisfaction for all parties involved.
The incumbent will work closely with internal and external stakeholders to ensure the successful delivery of a wide range of activities and events. Responsibilities include managing logistics arrangements, budget management, and on-site support while also contributing to support in developing and building relationships with current stakeholders, supporting the identification of potential strategic partners to promote growth for the SPARK Hub. This position requires strong organisational skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Key Accountabilities
- Assist in the planning, coordination, and execution of a wide range of SPARK Hub’s activities and events includes managing all event-related logistics tasks such as venue selection, catering, audiovisual equipment, signage, transportation, and event setup/breakdown, while providing detailed event timelines and schedules for timely delivery and execution.
- Collaborate with relevant internal stakeholders within RMIT Vietnam to organise engagement activities and events while liaising with student club representatives to prepare for these activities.
- Assist in media relations activities, including drafting press releases, coordinating media interviews, and managing media inquiries.
- Coordinate the delivery of activities and experiences in line with budget planning by working closely with the Line Manager including cost estimation, tracking expenses, and ensuring financial compliance.
- Identify and build strong relationships with key stakeholders within RMIT Vietnam and external parties including industry partners, domestic and international partner institutions, and government educational entities ensuring all engagement plans with these partners are implemented effectively.
- Develop action plans based on engagement initiatives to enhance stakeholder relations and create opportunities for interaction with industry partners to generate knowledge for the Hub.
- Effectively consult and provide advice and feedback regarding the SPARK Hub and its activities to potential partners and guests in a transparent and timely manner, whether via email, telephone, or face-to-face interactions.
- Perform other tasks as assigned by the Line Manager.
- A relevant bachelor’s degree.
- Demonstrated at least 3-year experience in providing a high level of administrative support and events coordination in a medium to large scale organisation. Experience in a higher education sector is preferable.
- Demonstrated ability in service excellence with a high-quality approach to students, staff, internal and external stakeholders.
- Highly developed interpersonal skills, including the demonstrated ability to effectively communicate with staff at various organisational levels and to work cooperatively as a member of a team.
- Well-developed organisational, planning, and analytical skills with a high level of attention to detail and the ability to prioritise tasks.
- Possess strong verbal and written communication skills in both English and Vietnamese, with the ability to effectively engage with a diverse range of stakeholders.
- Proven ability to interpret and apply policies, procedures and systems consistently, provide advice and to drive creative solutions through to implementation within the immediate work area.
- Demonstrated skills in database management, record keeping, website management, and social media. Experience in using a range of Microsoft Office Suite programs and multimedia applications is preferred

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.0 (or equivalent Linguaskill 160).
