Your role
The Student Visa Support Coordinator is responsible for tracking and monitoring the visa status of international students at the SGS campus, ensuring compliance with local regulations through timely residential registration, and assisting with the preparation and submission of necessary visa documents. This role provides guidance on visa extensions and cancellations, maintains accurate visa-related records, offers compliance advice, and prepares reports for immigration offices. Additionally, the visa support advisor manages visa records and prepares reports for the Hanoi campus, ensuring consistent support and regulatory adherence across campuses.
Report to: Senior Coordinator, Student Administration (SGS)
Key Accountabilities
- Visa monitoring: Oversee the tracking and monitoring of visa status for all international students at the SGS campus, including those on Leave of Absence (LOA) and those with cancelled enrolments. Ensure compliance with RMIT's Enrolment Policy and Procedure, and document relevant local procedures as needed.
- Residential registration: Ensure timely follow-up with students for the registration of their residential status as required by local regulations. Develop and document systems and processes to facilitate efficient residential registration.
- Document preparation and submission: Assist students with the preparation and submission of both online and offline documents necessary for visa entry, extension, or cancellation. Ensure all documentation is complete, accurate, and securely stored.
- Visa extensions and cancellations: Provide comprehensive guidance and support to students throughout the process of applying for visa extensions or cancellations. Coordinate with relevant stakeholders to ensure a smooth and compliant process.
- Record keeping: Maintain accurate records and manage all visa-related information for students at the SGS campus. Ensure the integrity and security of student records and perform quality data analysis and reporting as required.
- Visa compliance advice and reporting: Offer expert visa compliance advice to students and relevant teams. Prepare and submit detailed reports for immigration offices, ensuring all reporting requirements are met.
- Hanoi campus support: Manage visa records and prepare reports for the Hanoi campus, ensuring consistent support and regulatory adherence across campuses. Liaise with the Academic Registrar's Group (ARG) team and other stakeholders to address and resolve local issues.
- Customer service: Ensure a high level of customer service for all areas of responsibility to internal and external stakeholders. Coordinate with Student Connect and International Office to assist international students in obtaining and maintaining their visas.
- Training and development: Lead the development and delivery of training to staff within Enrolment and Student Records, the Academic Registrar’s Group, and professional staff in central service areas. Ensure a common understanding of visa-related policies, procedures, and practices.
- Communication and coordination: Identify local communication needs on visa matters and coordinate as needed, ensuring appropriate reach and contextualisation across RMIT Vietnam campuses while maintaining alignment with policy and processes. Communicate with Officers of the Vietnam Immigration Department and Office regarding visa advice and issues.
- Additional tasks: Perform other tasks as assigned by the Manager - Enrolments and Records, or relevant authority, to support the enrolments and student records functions.
- A bachelor’s degree in business administration or a relevant discipline, or other equivalent work experience.
- At least 5 years’ experience with administrative systems and processes.
- Demonstrated experience in a complex customer service environment.
- Skilled in the use of Microsoft Office, cloud-based applications and experience using database systems.
- Demonstrated understanding of policy compliance and quality improvement.
- Ability to work both independently and as part of bigger team; experience coordinating projects and leading small teams preferred.
- Demonstrated ability in liaising with people at all levels and areas of an organisation, for example, students, academic staff, and management, as well as with people in industry, government, and other organisations.
- Highly developed interpersonal skills, written and verbal communication skills, including ability to tailor communication styles to diverse audiences.
- Proven initiative and problem-solving skills and ability to work independently to quickly extract the priority issues and act without specific direction where appropriate and ability to advise management of potential for policy improvement.

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.0 (or equivalent Linguaskill 160).
