DUTIES and RESPONSIBILITIES:
• Support the day-to-day administrative operation of Furniture, Fixtures & Equipment (FF&E) and Operating Supplies & Equipment (OS&E) purchasing within the Procurement Department
• Thorough understanding of the Procurement Management System
• Adhere to internal control Policy and Procedure throughout the department, regarding purchasing processes
• Prepare all necessary paper work when processing purchase requests
• Ensure that orders are filled and supplies are delivered on time as requested by the departments
• Compare and evaluate the quotations from suppliers, vendors
• Follow up the deliveries, check all goods delivered on specification, quantity and quality with requestor. As for prices in invoices, Procurement Officer will compare it to contract/ purchase order)
• Collect the invoices to provide Payable Accountant for accounting records and payments
• Maintain contracts, purchase requests, purchase order files and records
• Compile statistical reports as required by the manager
• Prepare the reports on purchases, including cost analyses
• Create and maintain an updated supplier list at all times
• Perform related tasks as assigned
