Job Description:

• Performs clerical duties, including, but not limited to. Mailing and filling correspondence, and answering calls
• Welcome and interacts with clients, visitors, and vendors upon arrival to office
• Operate standard office equipment on a regular basis and assist with a variety of administrative tasks including copying, faxing, taking notes, …
• Co-ordinates and facilitates travel requirements
• Sorts and distributes incoming mail
• Arranges meeting by reserving rooms and managing refreshments
• Maintain the office areas in a clean and tidy manner at all times
• Photocopies, scans, and files appropriate documents
• Maintain accurate records and enters data
• Assists with organizing events when necessary
• Conducts research and compiles data
• Signs for delivered packages and distributes them to the appropriate recipient
• Interacts with directors when necessary
• Acting as a receptionist
• Take inventory and maintain stock of supplies by anticipating work requirements, ordering supplies, and distributing supplies where necessary
• Handling all expenses (general expenses, travel expenses) from colleagues, supplier payment with checking, following up and recording
• Performs additional duties when required, including drafting communications and organizing the general office filing system

Requirement:

• Previous experience in a related field preferred
• Self-Driven; excellent customer care skills
• Exceptional communication skills; Ability to maintain a strict level of confidence
• Proficiency in Microsoft office programs
• Attention to detail
• Professional appearance
• Excellent typing skills
• Strong problem solving skills
• Excellent organizational skills
• Highly motivated and ability to prioritize efficiently
• Ability to work alone or as part of a team

• Knowledge of basic office management procedures
