At Duong Dong Group (DDS Petro), we operate in a fast-moving, high-accountability environment where commercial execution must be accurate, timely, and disciplined. We’re looking for a Sales Support Executive who thrives on keeping deals moving—someone who is quick, meticulous, proactive, and proud of doing things properly.

This is not a “paperwork-only” role. You will be the commercial backbone of the Sales team—supporting documentation, cross-functional coordination, and external communication to ensure every transaction is traceable, compliant, and professionally executed.

Commercial Documentation & Deal Support

•           Prepare, review, and manage commercial documentation: quotations, orders, contracts/addenda, delivery confirmations, reconciliation records, invoicing requests, and payment support files (per internal procedures).

•           Ensure data consistency across documents (volumes, pricing terms, delivery terms, timelines, customer details) and proactively flag inconsistencies before they become risks.

•           Maintain clean version control, file discipline, and audit-ready documentation logs.

Cross-Functional Coordination

•           Coordinate closely with Accounting, Logistics/Dispatch, Operations, and related teams to confirm delivery status, document completeness, and transaction readiness.

•           Track progress of active orders and ensure issues are escalated early—before they disrupt execution.

Reporting & Data Integrity

•           Update and maintain transaction trackers (volumes, pricing, delivery progress, documentation status).

•           Support daily/weekly reporting needs for Sales leadership with accurate, structured data.

External Communication & Relationship Support

•           Liaise with customers/partners to confirm information, finalize documentation, and schedule meetings when needed.

•           Represent the Sales team with professionalism, responsiveness, and strong communication etiquette.

Must-have

•           1+ year experience in Sales Support / Sales Operations / Documentation / Commercial Coordination (experience in commodities, logistics, or industrial supply chains is a strong advantage).

•           Strong working proficiency in Excel and Word (mandatory).

•           Fast execution with high attention to detail—able to work under time pressure without compromising accuracy.

•           Proactive mindset: you don’t wait to be told; you anticipate and close gaps.

Nice-to-have

•           Exposure to petroleum/commodity trading, bulk logistics, terminals, or industrial B2B supply.

•           English proficiency for email and basic commercial communication is a plus.
