JOB OVERVIEW

Type of employment: Full-time;
Working hours: Monday-Friday (Morning: 09:00-12:00, Afternoon: 14:00-19:00; occasional evening & weekend work is to be expected);
Remote work: Priority is given to candidates currently living in Hanoi, Vietnam.

RESPONSIBILITIES
The candidate will have the opportunity to work directly with core members of our high-performing team and perform day-to-day processing of HR requests related to one or more service lines:
(1) Integrated Talent & Employee Life Cycle
Develop and implement HR strategies and initiatives aligned with the overall business strategy, especially focusing on international expansion;
Manage the recruitment and selection process, ensuring we attract, hire, and retain the best talent to meet the needs of our expanding international operations in Vietnam, Norway, Australia, the UK, France, and other international markets;
Organize the job postings, interviews, and other head-hunting procedures;
Nurture a positive working environment by maintaining a strong company culture, aligned with our values and business objectives, across all international locations;
Participate in developing initiatives to connect and maintain a healthy working culture for employees in the company;
Come up with ideas for organizing training sessions and annual events for employees (online and offline);
Supervise and monitor employee performance and regulate the use of leave;
Organize and manage schedules and calendars for staff;
Offer assistance in organizing events, including ordering materials and requisitioning meeting spaces;
Prepare regular reports on expenses and office budgets.

(2) People Analytics and HRIS
Develop relevant administrative and human resources initiatives and policies;
Maintain and update company databases;
Organize a filing system for important and confidential company documents;
Distribute and store correspondence (e.g. letters, emails, and packages);
Maintain a company calendar and schedule appointments;
Prepare reports and presentations with statistical data as assigned;
Arrange travel and accommodations;
Hiring maintenance vendors to repair or replace damaged office equipment;
Consolidate and analyze HR data and statistics gathered from multiple sources to identify trends and make future predictions; interpret data and communicate key findings to HR and business leaders;
Present HR data in digestible forms and prepare presentations for reporting needs;
Create employee data-related scorecards and dashboards;
Prepare reports, visualizations, and presentations to communicate findings and recommendations to stakeholders clearly and concisely;

(3) Payroll
Validates and updates employees payment related information and biodata;
Attends to partners’ salaries and time records inquiries and concerns;
Coaches users on using existing or new HR and payroll software;
Prepares and processes monthly payroll on a timely basis for assigned partner groups from one or more business entities;
Processes and communicates partners’ tax liabilities and community funds;
Generate and prepare accurate payroll-related reports for analysis purposes;
Supports payroll process improvement projects; Supports annual company and/or payroll audits;
Confer with the accounting department to help make payments, process incoming invoices, and verify receipt;
Other administrative tasks as required.


SKILLS AND QUALIFICATIONS
University degree with a major related to human resource administration; additional qualifications in Office Administration are a plus;
Proven work experience as an Administrative Officer, Administrator, or similar role (expected 2 years);
Solid knowledge of office procedures;
Experience with office management software like MS Office (MS Excel and MS Word, specifically);
Strong organization skills with a problem-solving attitude;
Experience with FMCG or franchise systems is a plus;
Proficient in the four English skills of listening - speaking - reading - writing;
Attention to detail;
Good organization, time management, and scheduling skills;
Ability to multitask.
