1. Schedule meetings and plan the day for the Manufacturing Head.
2. Prepare minutes of meetings, key notes, and gather feedback & Ensure timely communication and follow-up on action items from meetings.
3. Translate Vietnamese to English and English to Vietnamese & Interpret meetings held in Vietnamese, Interpret conversations between the team and the Manufacturing Head.
4. Translate documents and proposals between English and Vietnamese
5. Assist in operations, process planning, and understanding basic manufacturing processes.
6. Push the team to work efficiently and effectively, ensuring deadlines are met.
7. Gather and analyze data from team members and present it to the Manufacturing Head.
8. Prepare, compare, and interpret proposals, converting them into presentation formats.
9. Draft management presentations as required.
10. Evaluate proposals for accuracy and completeness before presenting them. Properly follow the Management Information System (MIS) and provide reports to the Manufacturing Head.
11. Prepare daily planning, follow-up schedules, and inform the Manufacturing Head of feedback.
12. Maintain confidentiality in all matters related to the Manufacturing Head.
13. Communicate effectively with internal and external stakeholders.
14. Assist in administrative tasks as needed. Handle travel arrangements and logistics for the Manufacturing Head. Organize and maintain files and records.
15. Ensure the Manufacturing Head is well-prepared for meetings and presentations & compile relevant documents and data needed for meetings.
16. Suggest improvements to existing processes to enhance efficiency & implement new procedures as directed by the Manufacturing Head.
§ Bachelor’s degree in English Business, English Interpretation, Industrial Engineering, or a related field. Certifications in translation or interpretation are advantageous.
§ 5-8 years of experience as an assistant to foreigners, preferably in a manufacturing or Industrial setting. Experience in translating and interpreting between Vietnamese and English in professional settings.
§ Must be fluent in English and Vietnamese. Proficiency in additional languages (Thai Lan, Chinese) is a plus.
§ Strong understanding of basic manufacturing processes with Excellent communication and interpersonal skills.
§ Strong organizational and time-management skills with Ability to push the team for efficient and effective work.
§ Proficient in preparing and presenting proposals and reports.
§ High level of confidentiality and professionalism.
§ Proficient in Google Workspace (Doc, Sheets, Slides).
