YOUR ROLE
This role will take lead in ideating and implementing strategies aiming at enhancing connections between RMIT and different groups of Alumni, a cohort of 4500+ members. This means to enable graduate’s personal and professional development such as job opportunities, mentoring, soft-skills development and business network. Also, incubating relevant opportunities/platforms in which alumni can contribute back to RMIT’s teaching and learning quality and/or create positive changes to local society. The role will be key in coordinating internal and external stakeholders with alumni related requests. Building and maintaining relationships with internal and external stakeholders is crucial, the position is the key point of contact for alumni and will involve developing an understanding of the different internal business groups and relationships throughout the university.

Reports to: Deputy Alumni Relations Manager, Hanoi Campus
Key Accountabilities
- Campaign management:
- Support the Deputy Alumni Relations Manager and Schools on planning and delivering a range of alumni engagement activities. This includes high level inter-campus administrative support, event planning and other tasks as required.
- Develop and deliver alumni engagement activities (including but not limited to events, workshops, social activities, meeting on behalf of RMIT Vietnam Alumni Relations) at Hanoi campus and at other locations as required (other provinces or cities in Vietnam and in the region (depending on the University strategy and transition activities).
- Support the development of Alumni chapters in Hanoi and in other cities when needed.
- Communication:
- Coordinate with Event & Communication Consultant to deliver strategic communications to alumni on diversified channels. This may include artwork production and content planning for printed publications, digital communications and social media.
- Act as key local contact to support alumni with their enquiries, as well as to support other stakeholders for alumni-related communications.
- Ensure the national and global alumni policy is communicated correctly and consistently among stakeholders.
- Use media tracking and collaborate with Communications team to identify and feature prominent alumni
- Support the logistics and management of the alumni cards, and other admin tasks in Hanoi.
- Relationship management:
- Identify and engage with active or high-profile alumni as well as potential industry partners in the area for strategic goals
- As a representative of Careers, Alumni, Industry Relations department in Hanoi, develop and strengthen internal and external relationships through effective customer service and problem solving when required.
- Provide support when needed and appropriate to Industry Relations in Hanoi including organizing and promoting careers and industry events
- Database management:
- Ensure the Vietnam Alumni database accuracy rate by continuously and proactively update the database through various sources including but not limited to social media, website, email campaigns, event registrations, annual surveys and direct referrals from university’s stakeholders. This also includes inter-country database sharing and update.
- Collaborate closely with the Data Coordinator to continuously update alumni engagement on alumni database
- Report on alumni statistics as required. Liaise with internal and external clients and provide information reports and advice as relevant.
- A minimum of 2 years’ experience working in the area of marketing, community building, customer service and or customer relations.
- Proven ability and experience in managing and hosting key strategic events and activities targeted to client or customer needs.
- Well-developed and demonstrable interpersonal and networking skills, including negotiation, liaison and cross-cultural communication specifically in relation to customer relationship management and loyalty and/or engagement programs.
- Demonstrated experience in data base management for the purpose of CRM and prospect profiling.
- Sound knowledge and experience in using computer software such as Microsoft Word, Excel and Power Point, and other digital platforms such as Mailchimp, Facebook manager is a plus
- Experience in monitoring campaigns on social networks, and working with educational alumni groups for the purposes of engagement, sponsorship or fundraising would be preferred.
- Demonstrated high level communication skills, written and spoken (both English and Vietnamese).
- Well-developed planning, organisational and problem-solving skills with the ability to coordinate and/or implement tasks in a timely fashion.
- Demonstrated ability to work independently and as part of a team environment.
- Demonstrated commitment to continuous improvement.
- Public speaking/presentation skills are an advantage.
- Ability to display appropriate behaviours in line with the position, as per the RMIT Behavioural Capability Framework (Connectedness, Commitment to Excellence – Improve and Simplify; Imagination and Innovation; Impact; Inclusion; Agility).
Mandatory: Bachelor’s degree in a relevant discipline.
Preferred: University study undertaken at an international university, or in a university where English was the language of instruction.
ENGLISH PROFICIENCY
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) with a score of at least 6.0 or equivalent, as outlined in the RMIT Recruitment, Selection and Onboarding Guidelines.
