Mô Tả Công Việc

The Role

This role will provide high-quality administrative support to the Compensation, Benefits and HR Services team in Ho Chi Minh City, specifically relating to the following areas:

Work permits, visas and temporary residence cards

Organising labour contract and other records

Support related to various processes in statutory insurance administration

Ensuring the confidentiality and security of the files and filing systems

Coordinating schedules and arranging meetings

Maintaining office supplies

Key Accountabilities

1. Provide administration support in work relating to Vietnamese immigration, including visas, work permits and other related legal documents for expatriates to reside and work in Vietnam.
2. Preparing labour contracts for new hires (both salaried and hourly staff (Vietnamese nationals and expatriates) based on pre-defined templates; and explaining terms and conditions of the contracts to staff members, as and when required.
3. Support the Contract and Insurance Administration team in organising contracts for signing, stamping and filing.
4. Support the Contract and Insurance Administration team in coordinating paperwork and procedures for various processes related to statutory insurance schemes covering RMIT Vietnam staff.
5. Organise staff files in good order and working with Crown, our storage vendor, to keep records of files in the storage and in the office. Retrieving/returning/sending files from/to Crown store, as and when required.
6. Coordinate schedules and arranging meetings for the team; book meeting rooms as required.
7. Manage office supplies stock and place orders; prepare regular reports on expenses and office budgets.
8. Ensure excellent customer service is delivered by responding promptly to queries.
9. Uphold confidentiality and ensure due process is followed in all activities.

Yêu Cầu Công Việc

Skills and Experience

Bachelor Degree in Business Administration (or related discipline; additional qualifications in Office Administration are a plus)

Demonstrated experience in providing high level coordination and administration support for an international organisation.

Understanding of Vietnam Labour Code and/or Vietnam Immigration Law for foreign employees

Excellent verbal and written communication skills in English and Vietnamese.

Strong organisational and planning skills and ability to set priorities.

High sense of confidentiality and ability to work with confidential information.

Forward-thinking attitude to determine the areas in office administration that could be improved.

Superior knowledge and experience in using IT software such as Microsoft Word, Excel, and Power Point.

Experience in using Work Day or other related HR platforms is desirable.

Highly competitive gross salary starting from 17,325,000 VND depending on proven track record in meeting all the key selection criteria.

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) with a score of at least 5.5 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).
