We are seeking a highly organized and proactive Executive Assistant to support our Chief Executive Officer in a fast-paced home manufacturing environment.
The ideal candidate will play a crucial role in facilitating communication, managing schedules, and coordinating strategic initiatives. This individual should possess excellent judgment in various situations, along with strong written and verbal communication skills, as well as administrative and organizational abilities.
The executive assistant must be forward thinking, capable of independently managing projects from conception to completion, and must be able to work under pressure to handle a wide range of activities and confidential matters with discretion while maintaining a realistic balance among multiple priorities.
Key Responsibilities Include:
● Managing the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
● Preparing and organizing materials for meetings, including agendas, presentations, and reports.
● Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf.
● Serving as a liaison between the CEO and internal/external stakeholders, ensuring effective communication and follow-up.
● Conducting research and compiling data to support decision-making and strategic planning.
● Assisting with project management and tracking progress on key initiatives.
● Maintaining confidentiality and exercising discretion when handling sensitive information.
● Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
● Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated and on-time.

Qualifications
● Bilingual in English and Vietnamese
● 3 years of experience working as an executive assistant for C-suite executives
● Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
● Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, external partners/stakeholders
● Expert level written and verbal communication skills in English and Vietnamese
● Demonstrated proactive approaches to problem-solving with strong decision-making capability
● Highly resourceful team-player, with the ability to also be extremely effective independently
● Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
● Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
● Forward looking thinker, who actively seeks opportunities and proposes solutions
● Experience working in Microsoft Office Programs and Google Suite Programs (Word, Powerpoint, Excel, Google Docs, etc,.)
