Department responsibilities

• Support the department with general admin duties, including the preparation of cost estimates, approvals, invoice requests for submission to Finance department

• Provide support to Sales department admin as required

• Oversee tracking of budgets, time sheets and other departmental paperwork

• Coordinate project work with vendors

• Coordinate arrangements for colleague business travel, including air/accommodation/expenses

• Coordinate journalist and KOL familiarisations and resort visits, including travel arrangements, accommodations, site inspection details and internal reservations/billing

• Manage internal graphic design requests in collaboration with Design Manager. Work with Purchasing team on design and collaterals management.

• Be responsible for sending/handling all the collaterals orders from internal departments to suppliers.

• Translate and proofread copy of advertising, collateral and press releases where appropriate

• Be familiar with and ensure brand standards are being followed; assist with brand standards evaluation

• Assist with marketing initiatives and campaigns

• Produce monthly expense report, Owner’s Report and others as assigned

• Co-ordinate special projects

• Co-ordinate production and inventory of merchandise and giveaways as required

Financial responsibilities

• Be responsible for saving hotel asset/ energy/ water/ chemical and propose the saving ideas to management

• Report Lost and Found immediately to Security

People responsibilities

• Perform/ behave as per IHG Winning Ways to other colleagues (within your department and toward other departments)

• Train and help colleagues on the job

• Work as a team member within the Marketing department to achieve overall goals and objectives

• Participate in appropriate training sessions as assigned

Responsible business

• Be responsible in keeping our property safe and secure

• Be responsible in protecting the environment such as the trees, the sea, and the special species

• Drive buggy safely after being certified

• Attend marketing meetings/regional sales and marketing monthly conference calls

• Be responsible in keeping our property safe and secure, to participate in any hotel activity related to Fire Life safety.

• 100% salary & service charge in 2 months of probation

Required skills:

• Strong bilingual abilities Vietnamese/English – speak / read / write

• Demonstrated ability to interact with customers, employees and third parties that reflects highly on the hotel, the brand and the Company.

• Problem solving and organizational abilities

• Proficient in the use of Microsoft Office

Qualifications:

• Diploma or Vocational Certificate in Sales & Marketing, Hotel Management, Business Administration, or related field preferred.

Experience:

• 1 year related experience or an equivalent combination of education and experience
