Contract Type: Fixed-term Project Contract (6 months)

Location: Ho Chi Minh City/Hanoi + On-site client visits when required

KEY RESPONSIBILITIES


  1. Project Management & Hands-On Execution (50%)
  • Strategic Translation & Planning:

Transform high-level project scope into detailed master plans with weekly and daily milestones

Build and maintain comprehensive project trackers, timelines, and risk management logs

Coordinate directly with internal teams (content developers, designers, trainers, event specialists) to ensure seamless execution

  • Operational Delivery Across Three Key Workstreams:

Communications: Oversee production of internal communication campaigns, teaser materials, recognition programs, and talkshow content development

Training Programs: Manage end-to-end logistics for micro-learning rollouts, workshop facilitation, leadership talks, and train-the-trainer programs (participant scheduling, materials preparation, platform setup)

Activation Events: Execute large-scale townhall meetings and kick-off events, including venue coordination, AV setup, run-of-show management, MC briefing, and real-time event support

Quality Assurance: Review all deliverables, materials, and setups before client presentation to ensure excellence standards are met consistently.


  1. Client & Stakeholder Management (35%)

Serve as the primary operational contact for client stakeholders on all project matters

Facilitate regular progress meetings (weekly/bi-weekly), prepare comprehensive meeting minutes, and manage action item follow-ups

Handle client feedback, change requests, and scope adjustments professionally while consulting with Project Sponsor on strategic implications

Provide transparent status reporting and proactive communication to maintain high customer satisfaction Coordinate approvals for content, timelines, event logistics, and deliverable acceptance


  1. Budget Management & Administration (15%)

Monitor project expenditure against approved budget and provide regular financial status reports

Identify and mitigate project risks related to timeline, quality, resource availability, and stakeholder engagement

Manage administrative processes including purchase orders, vendor coordination, invoicing, acceptance documentation, and payment tracking

Support post-project evaluation and lessons learned documentation


REQUIREMENTS

  1. Education & Experience
  • Required Qualifications: Bachelor's degree in Business Administration, Human Resources, Marketing, Communications, or related field

3-5 years of proven project management experience in one or more of the following areas:

Learning & Development or HR solutions implementation

Internal communications, culture programs, or employee engagement initiatives

Event management, activation campaigns, or agency project delivery

Demonstrated success managing complex, multi-stakeholder projects with concurrent workstreams

Experience working with large corporate clients in professional services environment

  • Preferred Qualifications:

Background in financial services, insurance, or professional services industry

Previous experience with organizational culture transformation or large-scale training programs

Agency experience (training, communications, events) or corporate L&D background
