- Schedule Management: Maintain the general manager's schedule, book meetings and appointments.
- Travel and Expense Support: Assist with Concur submissions, airline reservations, and hotel bookings.
- Event and Document Management: Organize company events and manage legal documents (e.g., business licenses, Power of Attorney, office leasing, insurance).
- General Office Support: Perform tasks such as using the company stamp, coordinating with IT for office equipment, supporting visitors, and arranging training schedules and venues.
- Policy Coordination: Implement and manage the Fleet Policy.
- Vehicle Control & replacement: Maintain oversight of unassigned vehicles. Manage the process of vehicle replacements.
- Process Development: Enhance the end-to-end source-to-procure/pay process, ensuring efficiency and compliance.
- Vendor Management: Maintain a master vendor list of top local service providers (LSPs) for business satisfaction and cost-effectiveness. Ensure LSPs comply with service level agreements, requirements, and budgets in line with Zoetis' policies.
- Partnership Enhancement: Strengthen partnerships with LSPs through negotiations to benefit Zoetis in costs, payment terms, and deliveries.
- Purchasing Execution: Ensure flawless purchasing activities from request to payment, involving key stakeholders.
- Stock Management: Oversee stock management resulting from procurement processes in collaboration with the Administration Workforce.
- In-house Consultancy: Identify and execute initiatives to optimize procurement efficiency for Zoetis Vietnam, from incubation to scale-up.
- An associate's or bachelor degree in business administration, business management, or a related field preferred
- Good English skill
- Familiarity with sales contracts and agreements.
- Working knowledge of managing budgets and keeping track of sales commissions
- SAP system experience is advantaged
- Demonstrable experience in sales support administration, or similar
- Proven ability to work with cross-functional department
- Be able to manage multiple projects simultaneously and prioritize work, goals and tasks in accordance with BU and corporate objectives
- Good organizational & multitasking skill
- Excellent written and verbal communication skills, customer service skills, convincing in the presentation of methods of analysis, results, conclusions, and recommendations
- Exceptional interpersonal skills and a proactive approach toward problem-solving
