We are seeking a bilingual Administrative Assistant fluent in both English and Vietnamese. Organizational skills and detail oriented are highly preferred. This role will require the ability to manage multiple tasks in addition as a vital interpreter between Vietnamese-speaking shipyard personnel and English-speaking vessel personnel. The candidate will work in an office as well as in a shipyard environment onboard a vessel. The preferred candidate will have a general understanding of shipyards in a fast-paced environment while working as part of a team. Candidate will be responsible for following all rules and safety regulations of the shipyard.

Administrative Support for Vessel Operations:

• General Administrative Duties:

1. Assist with administrative tasks onboard the vessel and in the shipyard.
2. Maintain detailed records, reports, and/or logs regarding vessel maintenance, repair progress, schedules, and personnel assignments.
3. Support the Project Management team with daily activities.
4. Prepare and organize a wide variety of reports, including daily progress reports, maintenance logs, safety logs, and compliance documentation.
5. Ensure all documents are submitted to the Project Administrator accurately and electronically.
6. Coordinate deliveries and act as courier to retrieve items at local distributers.
7. Assist in logistics planning, ensuring all necessary resources are available when required for maintenance or repairs.
8. Help prepare documentation, and/or other written materials for meetings.

Bilingual Interpretation (Vietnamese & English):

• Interpretation for Vessel Crew & Shipyard Personnel:

1. Act as an interpreter for English-speaking vessel managers and crew members, ensuring effective communication with Vietnamese-speaking shipyard staff, contractors, and management.
2. Translate verbal and written communications, including safety instructions, work orders, and operational instructions, ensuring information is accurately conveyed between Vietnamese and English speakers.
3. Assist in translating technical documentation and other written materials between Vietnamese and English, ensuring clarity and accuracy.

Yêu Cầu Công Việc

• Having knowledge in the maritime, shipyard or industrial sectors
• Proven bilingual (Vietnamese/English) interpretation and translation services, preferably in a professional or technical setting.
• Fluency in Vietnamese and English, both spoken and written is mandatory.
• Strong organizational, multitasking, time-management, communication and interpersonal skills.
• Proficiency in MS Office (Word, Excel, PowerPoint) and basic office equipment.
• Ability to work independently and as part of a diverse, multicultural team.
• Ability to work in a shipyard environment, including occasional lifting, standing, and walking on the vessel. Must be able to adapt to onboard conditions such as confined spaces, moving equipment, and varying weather conditions.
• The position involves exposure to noise, equipment, and other environmental factors associated with shipyard settings.
