Your role

This position provides administration for all functions in the awarded RMIT Vietnam SIC project, including administration assistance and project-related administration activities for the project team. This role provide support to the project team for awarded project including budget management, purchasing, contract, event organizing and administrative assistance to the project leads.

Report to Project Lead

Key Accountabilities

• Arrange and schedule project-specific meetings correspondence in a timely manner.
• Support effective communication between the project team and relevant staff at RMIT Vietnam and RMIT Melbourne.
• Organise functions and events, including invitations, venue bookings, equipment hire, catering and visitor parking.
• Maintain accurate records on project administration, particularly for the purposes of project evaluation and the report phase, in compliance with guidelines set by RMIT Vietnam.
• Provide financial admin support including monitoring project budgets, tracking expenditures, supporting the accrual of expenses, and assisting in financial procedures with funding agencies and university management.
• Support the project lead(s) in terms of contract preparation, purchasing documentation, identification of, and negotiation with preferred service providers and vendors.
• Travel arrangements: organise all travel arrangements for the project teams, including itineraries, airfares, accommodation, and transportations.
• Follow University policy to procure office consumables/equipment, process payments and design/print materials.
• Other duties as requested by the project lead
  
  

Key Selection Criteria

• A relevant bachelor’s degree
• At least one year of experience in a similar customer services-related role.
• Familiarity and working knowledge of finance-related admin work are essential for this position.
• Familiarity or working knowledge of developing and managing promotional and/or marketing-related materials and activities.
• Experience in providing financial management support upon request.
• Excellent interpersonal skills, including cross-cultural communication.
• Demonstrated ability to work with confidential information.
• Experience in managing purchasing, developing budgets, financial reporting is desirable.
• Experience in writing reports for executive management is desirable.
• Ability to display appropriate behaviours in line with the position and RMIT Values.
