Tan Binh Administration Manager is responsible for overseeing the daily administrative operations of Tan Binh Laboratory, ensuring efficient coordination of front-office and operational support functions including reception, sample receiving, security, and cleaning services. The role ensures smooth operational support to laboratory teams while maintaining professional customer service standards.
Tanbinh Administration Supervisor Task:
_Liaise with the landlord when necessary to resolve site-related matters and support the smooth operation of the Tan Binh laboratory.
_Coordinate with the landlord when necessary to address site-related issues and ensure smooth day-to-day operations of the Tan Binh laboratory.
_Support implementation of internal policies related to site administration.
_Supervise daily operations of the reception and sample receiving teams to ensure smooth sample flow between clients and BU/SBU
_Ensure all samples are received, logged, and handled in accordance with internal procedures and quality requirements.
_Maintain professional customer service standards for clients visiting or delivering samples to the laboratory
Ensure smooth coordination of reception, sample receiving, and outsourced services (security and cleaning) to support efficient daily operations of the Tan Binh laboratory.
_Coordinate administrative support functions with laboratory teams and maintain adequate office supplies and resources.
_Coordinate and supervise third-party service providers including security and cleaning services.
_Monitor service quality and act as the main contact point between SGS and outsourced vendors.
_Supervise receptionists and sample receiving staff, assign tasks, and monitor performance to ensure service standards are maintained.
_Support training and onboarding of administrative staff when required.
_Ensure administrative processes comply with company procedures and operational requirements.
_Report administrative and front-office operational matters to the National Administration Manager.
* MD's Assistant Task:
_Provide administrative and coordination support to the Managing Director when required.
_Assist in arranging meetings, preparing logistics, and coordinating internal or external visits.
_Support preparation of documents, presentations, or administrative materials for meetings and business activities.
_Coordinate with BU/SBU to follow up on tasks or requests assigned by the Managing Director.
- Coordinate international travel (APAC/Europe): visas, flights, hotels, logistics, agendas, buffers, and risk contingencies
- Maintain contact lists and relationship maps (government, clients, embassies, industry bodies, media)
- Prepare meeting summaries with clear action owners and due dates
- Support LinkedIn/thought leadership cadencef company events, internal meetings, and official visits when required.

- Shortlist and coordinate apartment/house viewings (location, commute, amenities, security).
- Set up/transfer utilities (electricity, water, internet, mobile plans) and manage service appointments.
- Arrange repairs with landlord
- Lead the full coordination of VIP guest visits, including ministers, consulate officials, senior clients, industry leaders, and media counterparts.
- Take end-to-end ownership of group/regional top management visits:
- Develop and propose the visit master plan including agenda, site routes, and attendee lists.
- Coordinate across all SGS Vietnam functions.
- Align with regional/global offices on timing, content, protocol, and deliverables.
- Ensure all materials are executive ready.
- Manage protocol and hospitality: security clearance, transport, VIP escorting, photography, accommodation, dining arrangements.
- Act as on-site visit leader, ensuring smooth flow, timing control, and issue resolution.
- Track action items and follow up post-visit (minutes, commitments, thank you letters, photos, PR coordination).
