Your role

The Administration Officer, Research & Projects provides operational and administrative support for research grants, projects, and other awards within the School of Communication & Design. Working under the direction of the Senior Coordinator, Research & Projects, this role focuses on day-to-day administrative tasks, data management, and coordination support to ensure smooth operation of research activities and compliance with university procedures.

The Administration Officer will assist in maintaining accurate records, supporting research events, and facilitating communication between stakeholders while contributing to the overall efficiency of the School's research operations

Report to: Senior Coordinator, Research & Projects

Key Accountabilities

Research Grant and Project Administration

• Assist in monitoring the implementation and compliance of internal and external research grants & projects by maintaining tracking systems and documentation, ensuring compliance with RMIT policies and procedures in all research and project activities
• Support budget monitoring by collecting and organizing expenditure data and preparing preliminary financial reports
• Maintain comprehensive filing systems for all research-related documentation, contracts, and correspondence
• Maintain accurate databases of research activities, grant information, and project timelines
• Assist in preparing materials for grant applications, progress reports, and final submissions
• Coordinate routine administrative tasks related to research fund management and reporting
  
  

Stakeholder Communication and Coordination

• Serve as first point of contact for routine research-related inquiries
• Schedule meetings and manage calendars for research activities. Coordinate the preparation of meeting materials, agendas, and follow-up documentation for research committees
• Coordinate communication between researchers, administrative staff, and external partners
• Maintain effective communication with relevant University departments (Finance, Accounting, Legal, Office for Research & Innovation)
  
  

Process Improvement

• Assist in identifying process inefficiencies and suggest improvements
• Support the implementation of new procedures and systems
• Contribute to continuous improvement initiatives within School’s research operations
  
  

Key Selection Criteria

• Tertiary qualifications in relevant fields.
• Basic understanding of research processes, grant administration, or project coordination. Familiarity with academic research environment preferred.
• Demonstrated ability to maintain accuracy in data entry, documentation, and record-keeping with high attention to detail.
• Proven ability to manage multiple tasks simultaneously, prioritize work effectively, and meet deadlines in a fast-paced environment.
• Demonstrated high level cross-cultural and communication skills, in both written and spoken English and Vietnamese.
• Well-developed organisational, interpersonal and negotiation skills and, the proven ability to liaise effectively with a wide range of management, staff and external parties
• Well-developed problem-solving skills, with the ability to take the initiative in identifying and pursuing opportunities to improve existing practices and services.
• Ability to build and maintain effective and productive relationships with a wide range of groups, both internal and external to the University.
• Demonstrated superior knowledge and experience in using computer software such as Microsoft Office suite.
• Ability to display appropriate behaviours in line with the position and RMIT Values.

English Proficiency

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.0 (or equivalent Linguaskill 160).
