• Support in welcoming guest, invitation letters, supporting accommodation, visa and travel, gift.
• Produce and submit report on general HR activity
• Prepare for new joiners (PC arrangement, create User ID, phone, taxi card, welcoming new associates...).
• Prepare for resignation associates & conduct exit check-list.
• Manage Department Employee List (Internal, external, intern) and Department Organizational chart.
• Coordinate with other departments to complete assignments.
• Support associates in travel arrangement.
• Support in expense claim form, recording and monthly reporting, newsletter, year book/year end video.
• Manage department budget and purchasing.
• Manage and distribute department asset (PCs, mouse, keyboard, RAM, monitor), prepare monthly asset report.
• Purchasing office supplies as per regulation.
• Get Department Head's approval for expense claim form, work-on, TPS or other related paper work.
• Support in interview process.
• Manage email distribution list and Department folder right granting.
• Support in receiving/sending courier.
• Taxi management.
• Support associates in daily arising topics.
2. Assistant to Department Head
• Arrange DH's calendar for internal meeting and external meeting.
• Send meeting request to participants according to DH's request.
• Support travel arrangement for DH (visa, insurance, transportation, hotel and flight booking, advance and claim settlement).
• Support in receiving/ sending courier for DH
• Be willing to give support for DH for some arising issues.• Bachelor Degree in Business Administration, Secretary, Linguistic or related fields.
• Preferably at least 3 - 5 years experience in similar position
• Good English skills (especially Speaking, Writing & listening)
• Good communication and teamwork.
• Hard working, dynamic, detail-oriented, creative, well- organized and ability to manage multiple tasks simultaneously.
