About Us

Damen Song Cam Shipyard Co., Ltd (DSCS) is a joint venture between Damen Workboats in the Netherlands (70%) and Song Cam Shipyard (30%), member of SBIC and based in Haiphong, Vietnam. At a 42 hectares site just outside Haiphong, Damen Song Cam is a strategic and preferred production location within the Damen Workboats to produce tug- and workboats up to 60 meters. At the moment the shipyard is a dedicated outfitting shipyard: up to 40 hulls are procured from our partner shipyards. DSCS is performing outfitting, commissioning and delivery to clients worldwide. The strategy to grow is successful. Growth in volume, expanding the product portfolio, expanding other maritime activities (services, supervision) within the group.

The Quality Control (QC) department is securing quality in a way that supports maximum efficiency of the production activity. QC is an important initiator of product and process improvements.

The role

Performing secretarial, administrative activities and assist general works for the department and department manager

Key accountabilities

Accurate and attractive correspondence and documents

• Data archiving in QC SharePoint/ folder in server. (Contracts demarcations, drawings, portfolio planning etc...);
• Information updated from/ to concerning departments;
• Receiving Delivery Document from hull yard (Piping system, valve list, coating diary, Technical file, outstanding Items list, X-ray film) to upload to share folder, inform interested parties for hull delivery;
• Checking documents to ensure in sufficient status before sending to managing director to sign, including (leftover materials, loose delivery items...) scan and send the signed Protocols to Parties involved.
• Arranging correspondence and documents;
• Draw up letters, announcements, etc. and translate documents into and out of English and Vietnamese.
  
  

Maintained agenda and Prepared meetings

• Maintain agenda of the manager/ team leader by scheduling, making and drawing attention to appointments and promoting the efficient use of time and preparing activities by collecting and making available required documents;
• Support QC manager/ team leader to organize for meetings;
• Making minute of meeting (MOM).
  
  

Assist team for general activities related to projects

• Tracking approved inspection test plan (ITP);
• Review, make final technical file and upload to the system (IFS-side 100);
• Manage to collect and summary inspection result at site to analyze their performance;
• Keep track inspection tools list, coordinate calibration process for QC’s tools
  
  

Travel arrangements and hotel reservations arranged

• Arrange ticket, accommodation for QC members who is assigned for business trip;
• Prepare Advance Payment Request and Advance Return for QC supervisors;
• Coordinate travel plans, contact the administration department for transportation arranging if any.
• Receive visitor information, arrange accommodation for client/visitors
• Arrange transport for client/visitors and for department member when required.
  
  

Provision of office supply and stationery for department

• Arranging and ordering all common necessities for the department members to carry out their jobs.
• Monthly Office stationery order.
• Preparing and communicate with other department to order tools, PPE for QC supervisors as requested.
  
  

Office Administration

• Daily office controlling
• Weekly timesheet registration for QC Supervisors,
• Maintain of QC documents
• Support team leader to monitor and carrying out 5S;
• Order lunch for supervisors who work in weekend. Office and lunch for visitor if any.
• Prepare tea/coffee for visitor/guest;
• Scan, print documents when needed
  
  

Skills & Experience

• Education: English, economics, trade or business administration;
• English skills proficient and soft skills;
