The Import Manager role is to plan, support & manage import of all Pharmacity & Exclusive Brand products and support continuous availability of these products at the lowest cost of ownership for Pharmacity and in a timely manner.

* Import Management (specific)

1. Assist buyers to define import documentations requirement, leadtime, import associated cost (freight, customs duties, regulatory compliance…) to calculate landed cost in Vietnam, in close coordination with internal (quality & regulatory, supply chain…) and external stakeholders (customs, freight forwarder…).
2. In close coordination with Procurement team, negotiate with freight forwarders, carriers and 3rd party logistics providers to reduce cost for Pharmacity.
3. Keep good relationship & represent Pharmacity for any discussion with related government agencies (including Customs officials)
4. Manage overall import sample receiving process (documentations required, shipping & shipper recommendations…) in a cost effective & timely manner.
5. In close coordination with 3rd party logistics & import provider, foreign vendor and quality & regulatory team, provide advice and ensure that new imported NPD comply with VN regulations (certifications, labelling, documentations) and act as coordinator to ensure that products are received on time, in total compliance and without penalties.
6. In close coordination with SC team:

• Ensure that PO have been received & acknowledged by foreign vendors following agreed leadtime
• Coordinate, track & monitor import shipments at all times & report status to key stakeholders (control & find solutions in case of delay and notify stakeholders)
• Responsible for finding faster shipping routes and lower cost carriers as well as developing contingency plans to facilitate an expedited shipment.
• Maintain records for accounting purposes in accordance with company procedures, including the checking of all invoices and shipping manifests for conformity to tariff and Customs regulations.
• Check all invoices & shipping manifests for conformity to tariff and Customs regulations
• Ensure on time payment for all vendors & 3rd parties
• Manage claims with vendors

7. “Go to” person if Pharmacity needs support to export products & samples.

* Organization & Team Management (general)

1. Develop divisional/departmental organizational structure, job descriptions, budget to perform the company strategies/goals. Ensure periodical review or whenever necessary;
2. Cascade targets to subordinates by assigning KPIs, giving instructions, supporting for achieving the targets and ensuring performance appraisal as requested;
3. Build-up and develop the team, organize and assign tasks, manage the team performance; implement the employees’ competence evaluation and have professional development activities to fix gap between the current and expectation;
4. Deliver training of processes, procedures, work standards/instructions to subordinates, and ensure the compliance within the delegated function;
5. Create best practices for the teams in the systematic approach and ensure activities are delivered in line with these best practices (Includes SOPs, process, policies, work instructions, improvement ideas);
6. Being fully connected with the team in communicating, providing essential information by full story.
7. Motivate, encourage employee engagement and ensure a positive work environment;

9. Prepare weekly, monthly reports, as requested by business & line manager.

Related experiences

5 years + in Import Manager role
Experience with freight forwarder, customs, demand planning
